Overview:
Performs all secretarial duties for physicians officeAssists with special projects as neededReporting Office Administrator of the physicians practicePerforms duties and responsibilities in a manner consistent with our mission, values, and Mercy Service Standards.
1 Safety/Risk ManagementaHandles and maintains all files, reports and fiscal data in a confidential manner; processes records requests.
bKeeps work areas neat and clean.
2 Coordination of ServicesaEnters registration into the computer within 24 hours.
bProcess dictation accurately and in a timely manner.
cResponsibly mails patient documentation to physicians and others as authorized.
3 Complex AspectsaScreens phone calls and answers questions; prioritizes and relay phone messages.
bOffers additional assistance before concluding an interaction.
cObtains insurance pre-certification when necessary; is able to answer questionsregarding insurance eligibility.
dKeeps accurate monthly logs and statistics as directed.
eCompletes charge audits when requested.
fCompletes special projects specific to job.
4 Primary AspectsaSchedules patient appointments in a timely and efficient manner.
bSeeks assistance from others when scheduling difficulties occur.
cNotifies supervisor for greater than 2 day scheduling turn-around.
dProvides physicians with daily copy of schedule and updates physician when changes occur.
eResponds to identified/expressed need in a prompt and courteous manner.
fPicks-up and distributes mail expediently and appropriately; maintains strict confidentiality.
gObtains complete registration information for new patients.
hProcesses all accounts payable in a timely manner.
iMaintains files and records in an organized fashion and keeps information current.
jProcesses typing projects including meeting minutes accurately and in a timely manner.
kMaintains inventory of office supplies.
lPresents neat and clean appearance, appropriate for professional health care environment in accordance with hospital and specific policy.
5 Communication ManagementaMaintains open communication with physicians at all times.
bAcknowledges individuals in a prompt and courteous manner, making them feel welcome to the physicans officeCommunications are courteous, utilizing appropriate statements in a pleasant tone of voice.
dFocuses attention and communication on the individual being served.
eDemonstrates congruency between verbal and nonverbal communication.
6 TechnologyaUnderstand applications and effectively uses hospital and department computer system.
bEnters, saves, prints and retrieves information from systems.
cMaintains the printer for proper working orderLoads different forms for different department activity reports.
dUses designated equipment effectively, skillfully, and efficientlyRequestsmaintenance as needed.
Qualifications:
MINIMUM REQUIRED Education:
High school diploma or equivalent required.
Licensure:
Experience:
Minimum of 1 year medical clerical experience required.
Other skills & knowledge:
(skills, knowledge, abilities)Proficiency in computers, Microsoft Office and dictating equipment requiredExcellent customer service skills requiredStrong oral and written communication skills required and must be able to interact with customers of all agesMust be able to deal with all customers in a tactful and pleasant mannerMust have typing skill of 55-60 wpmMust know medical terminology.
Physical Requirements:
Position requires the ability to push, pull, and/or lift 50 lbs on a regular basis.
Position requires prolonged standing and walking during each shift Position requires the ability to grip, reach, bend, kneel, twist, and squat to perform duties.

The check will bounce and the victim is left responsible.
